Boat rental software, and who uses it
The questions that come before anything else.
What is Let's Book?
Let's Book is booking software for businesses with boats: rentals, tours, charters and boat clubs. Customers book and pay on your own website, straight into your own account. So you wake up to new bookings without picking up the phone once. Confirmations go out on their own, and you decide which reminders go too. Every booking lands on one planning, and your team opens it in a browser at the dock.
Who is Let's Book for?
Let's Book is for anyone who sells time on boats: self-drive rental, tours with fixed departures, private charters with or without a skipper, and boat clubs, from a single boat to several docks in different countries. Run one of those or all of them on the same boats, and add another later without switching software. Because it's built for boats, docks, deposits, waivers and buffer time are already in it. Kayaks and SUPs come along as add-ons, not as the main business.
How is Let's Book different from a general booking system?
General booking software plans per tour or time slot; Let's Book plans per boat. So the same boat goes out by the hour in the morning, as a tour in the afternoon and as a charter in the evening, and nobody books it twice. A customer books a boat model, and you pick the actual boat at handout, shortly before departure; if a boat is in for repair, you still keep the booking. On self-drive rentals, customers start and stop their trip by phone, with a hardware module in the boat that you arrange with the hardware partner.
Does Let's Book also work for bikes, escape rooms or walking tours?
No, Let's Book is for boats only, on purpose: rental, tours, charters and boat clubs. Everything in it, from the boat model and buffer time to the deposit, a late return and maintenance per boat, is built for a dock, and everything we add stays about the boat. Kayaks and SUPs go along with a booking as add-ons.
Can I run more than one location on one account?
Yes, you run several docks from one Let's Book account. Each dock gets its own address, which sets the local time, and sells its own rentals and trips, with their own hours, prices and payment rules. Per dock, you also set how many boats leave at once. You see every dock on one planning and filter it to the dock you're standing at.
Is there a limit on staff accounts?
No, Let's Book has no limit on staff accounts and no charge per user. Four roles come with the account, and you can build your own from single permissions. So a dock host can see the day without seeing the revenue.
Does Let's Book work with partners and resellers?
Yes, Let's Book gives each partner their own link to your booking form. Their bookings arrive tagged, so you see the numbers per partner and pay their commission yourself. A partner rate can include that commission, so you still get your normal price. A connection to GetYourGuide and Viator is coming soon: we're building a channel manager.
Where is my data kept?
Your Let's Book data is kept in a European data center. Everything travels over an encrypted connection. Roles decide who sees what. Every change to a booking shows who made it and when.
Onboarding, switching over and support
How you start, and what we set up with you.
Do I need to install anything?
No, Let's Book runs in a browser on any modern device. You add the booking form to your website with a script tag and a link, or with the WordPress plugin. For Wix and Squarespace, the instructions are ready.
Is there a free trial?
Instead of a trial, you can ask for a test login, often already set up with your own boats. Look around on your own first. Then we set everything up with you, free on both plans. Until you go live, you make test bookings in your payment provider's test mode, with no real payment. Billing starts only when you switch to live yourself. What you set up while you try it carries over: it becomes your real account later.
How long does setting up take?
As long as you like, because you go live when you're ready. We start with a half-hour video call, often with your own boats already in Let's Book. Then we get everything in together: branding, boat photos, add-ons, and your rentals and trips with their hours and prices. When it all works, you switch payments to live yourself. Rather start on your own? The ten-step setup guide shows what to do first.
Can you move my existing bookings across?
Yes, and you don't have to do it alone. We move your existing bookings over with you, free, so what's already booked is in Let's Book right away. In another booking tool or a spreadsheet? We look at that tool and work out the route with you.
When is the best time to switch?
The best time to switch is your quiet season, when few boats go out. Mid-season works too, outside your busiest weeks. Tell us first what you run on now, because that changes what the first week looks like.
Is there training and support?
Yes, onboarding and support are free on both Let's Book plans. Somebody who has worked a dock answers your question within a business day. During the season, you can reach us on weekends too, through the chat in the dashboard. For anything you'd rather look up yourself, the support center has more than seventy guides.
Online booking and availability
What the booking form does, and what it won't allow.
How do customers book?
Customers book and pay through a Let's Book form that opens over your own website. The form carries your colors and your words. When somebody phones or walks up, you add the booking yourself, on the same planning.
Can a boat be double booked?
No, a boat can't be double booked in Let's Book. While a customer books and pays, the boat is held for them, fifteen minutes by default. If they walk away, it goes back on sale.
What happens when a time slot is full?
When a time is full, the Let's Book form offers other times and dates instead. It looks at the same day, then the next day, then the next week. It also offers another boat from the same category, if you switch that on per category. So your customer still books with you.
Can somebody book more than one boat at once?
Yes, a customer can book several boats of the same model in one booking. That's handy for a group of friends or a company outing. You set the maximum a customer may take at the same time.
Can customers cancel their own booking?
Yes, customers can cancel their own booking once you switch it on. It's off by default. You set how long before the start they may cancel, and which warning they read first. Put the fee in that warning, and they read it before they cancel.
Can a customer sign a waiver online?
Yes, customers sign waivers online through WaiverForever, on your own account there. The customer signs at home on the couch or at the dock, and shares one link with their group. The fields you link are already filled in. You choose whether every passenger signs, or one person per boat. Before departure, you see who still has to sign.
Can I set my own durations, opening hours and buffer time?
Yes, you set the durations, opening hours and buffer time yourself. For each rental or trip, choose fixed departure times, or opening hours where the customer picks the duration. Buffer time goes before or after a booking, per slot or on a single booking. Per dock, you can also cap how many boats leave at the same time.
Can prices and availability follow the season?
Yes, prices and availability follow the seasons you set. Prices change per period, per day of the week and per rental or trip. You add early bird and last minute prices on top. When you close a stretch of time for bookings, you add the reason to it.
Payments, security deposits and refunds
Where the money goes, and who holds it.
What are Stripe and Mollie?
Stripe and Mollie are payment providers. They take the payments on your booking form for you, by card, Apple Pay or the other methods you switch on, and pay the money out to your bank. You open an account with one of them in your company's name and connect it to Let's Book. They charge a fee per payment.
Who holds my money?
You do, because customers pay straight into your own Stripe or Mollie account. That account pays out to your bank on its own schedule. Let's Book takes its booking fee at the payment, and none of the processing fee. We never hold your money.
Which payment methods can a customer use?
Customers can use the payment methods you switch on in your Stripe or Mollie account. Which ones they see depends on their country, currency and device. A Dutch customer paying in euros can expect iDEAL | Wero and cards. A US customer paying in dollars gets cards and a wallet such as Apple Pay.
What do Stripe and Mollie charge?
Stripe and Mollie charge their own published rates, which vary by payment method. They take their fee from the payment before it pays out to you, and none of it comes to us. Their own pricing pages list those rates.
Can a customer pay part now and the rest later?
Yes, a down payment confirms the booking. You set it as a percentage or a fixed amount. So your customer can book a week on a boat at eleven at night without paying it all at once. For the rest, you send a payment link from the booking before the trip.
How do security deposits work?
If you take a security deposit, your customer pays it with the booking, and you return it from that same booking after the trip. You set it per boat and per group size. With a down payment, you choose whether the deposit comes with the first part or the rest. An add-on can bring a deposit of its own. Members can skip the deposit. You return the deposits of several bookings in one go.
Can I keep part of a security deposit back?
Yes, you can keep part of a deposit. Each amount you keep gets its own line on the booking, with a description. An amount still owed comes out of the deposit before the rest goes back. The booking shows the state of the refund until the money is with the customer.
Can I charge for a late return?
Yes, you charge for a late return yourself. Let's Book doesn't do it automatically, on purpose. Late boats are flagged on the planning with the minutes they're over. You decide what to charge. If you hold a deposit, you can take it from that. If not, you send a payment link.
How does the customer pay when they're standing in front of me?
A customer at the dock can pay right there. Charge the card already on the booking, or send a payment link. They can also tap their card on a Mollie or Stripe card reader at that dock. With Mollie, Tap to Pay turns your own phone into the reader. Cash and bank transfers are recorded on the booking.
Booking form in your brand and ten languages
The booking form takes your logo, fonts and colors, so it looks like your site.
Can the booking form match my brand?
Yes, the booking form takes your logo, fonts, color and corner radius. Let's Book checks the contrast while you pick. So a pale brand color never turns into unreadable text on a customer's phone.
Which languages does the booking form come in?
The booking form comes in ten languages. English, Dutch, German, French and Spanish are reviewed. Danish, Greek, Italian, Portuguese and Swedish are machine-translated. Don't like a translation? Write your own. Dock, boat and add-on names each get their own translation. You add a link to your terms per language.
Can I ask my own questions on the form?
Yes, you add your own questions to the booking form, and the answers stay with the booking. When you mark an answer as sensitive, it stays in the dashboard and out of the confirmation email.
Can I change the emails and text messages?
You can change the emails, not the text messages. You write the emails, with buttons and your own styling, and Let's Book fills in the booking details. Emails can differ per language and per rental or trip. Text messages have fixed words, because the rules for automated texts differ per country. The booking shows whether each message was sent, delivered, delayed or failed.
Can I sell add-ons and packages?
Yes, customers order add-ons right in the booking, and you choose which rentals and trips each one belongs to. Some add-ons scale with the group size. An add-on can also carry its own rule or bring a deposit with it. So the cooler is sold before the customer reaches the dock.
Reports and exports
What the season did, and how you get the numbers out.
What can I see about how the business is doing?
Let's Book shows your revenue over time and next to last year, and which days and months carry your season. You see how many trips went out and how long they lasted on average, per dock and per period. Your best day, month and year are listed too.
Can I export my bookings to a spreadsheet?
Yes, the bookings export gives the money its own columns. There's one each for price, add-ons, costs, booking fee, paid, cash, balance, deposit and deposit returned. Add-on orders and discount code usage export the same way.
Can I see the day, the week and the month?
Yes, the planning shows a day, a week, a month or thirty days. You filter it by dock and by boat model. The bookings list filters by status and payment too. Each view has its own link, so a colleague opens exactly what you're looking at.
Your website and other software
What Let's Book connects to, and what it doesn't.
Does Let's Book work with my website?
Yes, Let's Book works with any website. You add the booking form with a script tag and a link, or the WordPress plugin. For Wix and Squarespace, the instructions are ready. A link can fill in the form ahead of the customer. Your own code can open the form too.
Is there an API?
Yes, the Let's Book API is in both plans at no extra charge. It covers availability, bookings, customers and more. There are twenty-five webhook events, each signed so your server can check it came from us. Your server should answer within five seconds. If it doesn't confirm the event, we send it again.
What else does Let's Book connect to?
Let's Book connects to Stripe and Mollie for payments and card readers. WaiverForever handles waivers, on your own account. Sentinel Marine and Qondor connect to the engine, so self-drive customers start the boat themselves. A calendar feed works with Google, Apple or Outlook. The rest goes through the API or a webhook, to Zapier, Make or your own backend.
Does Let's Book connect to my accounting software?
No, Let's Book has no accounting connector today. You do get a webhook for every confirmed booking and the full API. With those, you set up the connection once, for example through Zapier or Make. It can then create the invoice in Moneybird, Exact Online, QuickBooks or Xero. The export also splits the money into columns already.
Can I sell through GetYourGuide, Viator or Booking.com?
Not yet. We're building a channel manager, so you'll soon sell through GetYourGuide and Viator too. Until then, you work with partner links. A partner gets a link with their own rate in it, so their bookings arrive tagged.
Discounts, add-ons and memberships
How you earn more from the same boats and customers.
Can I make discount codes?
Yes, a Let's Book discount code takes free hours, a percentage or a fixed amount off. Conditions can limit it to certain boats, docks, hours of the day and days of the week. You can also set exception dates and a minimum or maximum trip length. So a code fills a quiet Tuesday without touching your Saturday.
Can I make a lot of codes at once?
Yes, you create discount codes in bulk, or import codes you already made in a spreadsheet. That helps when a hotel or a partner hands each guest their own code. Let's Book tracks the usage per code, and you export it to a spreadsheet.
Can prices move by themselves?
Yes, Let's Book prices move by themselves within rules you set. Think early bird, last minute, a higher weekend rate, or a price of its own per period. Let's Book doesn't guess at demand, so every price is one you chose.
Does Let's Book do memberships?
Yes, Let's Book has memberships built in. Member types get their own rates and booking rules. A tier sets how far ahead a member can book and how long they can keep a boat. A rule sets how many Saturdays a member may have booked at once. Members can skip the deposit. Dues go through your own bank or subscription service.
Pricing, plans and billing
Two numbers, and the things that aren't on the bill.
Which plan should I choose?
Both Let's Book plans have every feature. Which one is cheaper depends on your yearly bookings. Standard is $30 or €25 a month plus 2.5% of every booking. Pro is $175 or €150 a month plus 1%. Standard is cheaper up to $116,000 or €100,000 in bookings a year, Pro above that. The pricing page does the math for you.
Is there a custom plan?
Yes, besides the two plans on the price list, there's a custom plan. It's for boat clubs, and for boats you don't own. We're happy to work out the price with you.
What else ends up on the bill?
Besides the plan, Let's Book only bills text messages, at about $0.12 (€0.10) each. Onboarding, support, every feature and unlimited users are in both plans at no extra charge. If you use the hardware and waiver partners, they bill you themselves. Stripe or Mollie take their own fee from each payment before payout, and none of it comes to us.
When does billing start?
Let's Book billing starts when you go live. Until then, setting up costs nothing. You run the whole booking in your payment provider's test mode. Ready for your first real booking? Then you switch payments to live yourself.
Is there a contract or a minimum term?
No, Let's Book has no contract and no minimum term. You pay by the month and can stop at the end of any month.
How is the booking fee charged?
Your payment provider takes our booking fee from each payment, next to its own processing fee. Each month you get two invoices from us. The first is for the monthly fee and any text messages. The second lists the booking fees already taken from your payments, so you don't pay them twice.
What happens to the fee if a booking is canceled?
Our booking fee stays paid after a cancellation, because it comes off the payment the moment the customer pays. Want to cover it? Then add a cancellation fee, as a percentage or a fixed amount, when you settle the canceled booking.
Do I pay a booking fee on a security deposit?
No, Let's Book charges no booking fee on a security deposit. Your payment provider does charge its processing fee on the deposit, even when the deposit goes back. Your provider lists that rate in its terms.
Can I pass the booking fee to the customer?
Yes, you can add the booking fee to the customer's price instead of paying it yourself. You choose whether the customer sees it from the start or at the payment step. Your advertised prices stay round numbers. The fee shows up as its own line the customer can read.
Can I change plan?
Yes, you can switch between the Let's Book plans at any time. Just not back and forth every season, Pro in summer and Standard in winter. Send us a message, and we'll set it up.
What happens to my data if I stop?
Your data stays for ninety days after you cancel, and is deleted after that. You keep access until the end of your billing period, so export your bookings before that day. You don't have to ask anybody.
Ask the question that isn't here.
